Setting Your Calendar Availability


Article Summary

Participants will schedule their coaching meetings with you directly through the Torch platform. In order for them to do so, first make sure you've synced your Torch Google calendar and any other calendars you use for your personal or private meeting scheduling to the Torch platform. Then follow the steps below to set your working hours, update your synced calendars, and confirm your calendar settings. Watch a video walkthrough, or follow along with the instructions below.

Step 1

Hover your cursor over the user profile icon in the top-right, then click Settings.


Select the user profile icon in the top-right, then select Settings

Scroll down to the "Availability and calendar time zone" section and double check your Included calendars. 


These are the specific calendars (including sub-calendars) associated with your synced calendar accounts that will be used to determine your availability. For example, if you previously synced a Google account that has separate work and personal calendars in the "My calendars" section, you'll want to specify which ones should be read by the Torch platform calendar. 


By default, the Included calendars will be set to All. To make adjustments to this, click the + next to Included calendars, then check the box next to any calendars that should be read by the Torch scheduling system.

NOTE: The included calendars are used to show your availability as free or busy only; no one will be able to see any details of your calendar events.


Click Save new rules under the availability calendar to save your selections.


Step 3Next you'll set your working hours. To do so, click and drag the white "Available" time slots on the calendar.

Your availability will be set to 9am to 5pm by default. If you need to see time slots later than 6pm, click the downward arrow in the bottom left of the calendar.


NOTE: To ensure your set working hours increase your eligibility to be matched with new participants, make sure to set blocks of availability that are 60 minutes or longer.


Beneath the calendar, select your Time Zone from the dropdown. 


When you're done, click Save new rules.


TORCH TIP: Out of office time cannot be added directly within the Torch platform. If you use the availability calendar to block off your out of office time, the platform will set you as unavailable during that time for all weeks moving forward and not just the specific dates you will be out of office. Instead, make an "OOO" event in one of your synced calendars to ensure the Torch platform recognizes that you are unavailable during just those specific dates and times.


Step 4In the "Calendar accounts" section back at the top of the page, verify all of your previously synced calendar accounts. Need to remove a calendar account? Click Edit accounts.

Then click the X to the left of the calendar account you want to remove.


Step 5In the "Scheduling notice" section, select your preferred notice time to prevent a new meeting from being scheduled less than 12, 24, or 48 hours in advance. Changes will be saved automatically.


NOTE: When a meeting is scheduled, the Torch scheduling system will take both users' set notice time into account and follow the more conservative setting. For example, if your notice time is set to 12 hours and the notice time set by the participant scheduling the meeting is 24 hours, the system will require a 24 hour scheduling notice.


Step 6Now it's time to make sure everything looks good. Scroll back up to the top of the page and click Preview your calendar to see what participants will see when they go to schedule a meeting with you.

From the pop-out calendar, use the arrows in the bottom right to navigate through your availability week by week. When you're done, click the X in the top right to return to the Settings page.


NOTE: These steps must be completed before you can be matched with participants. Need help? Submit a support request if you have questions about setting up your calendars and availability.


Step 7

Lastly, make sure you won't miss any meeting-related notifications, such as invitations, RSVP updates, or cancellations.


In the "Meeting notifications" section, select the email address where you'd like to receive these messages from the dropdown. Reference this article for additional guidance on changing your meeting notifications email.
